PebblePad and ATLAS rollover for a new teaching period
This guide will support you in how to organise and prepare PebblePad for a new subject, or for a subject that previously used PebblePad and ATLAS (i.e. rollover for a new teaching period).
When using PebblePad for assessment, it is important to also set up ATLAS (PebblePad’s tracking and reporting space) for student submissions in order to meet assessment policy.
ATLAS does not roll over automatically, so will need to be recreated for each teaching/delivery period.
The Teaching and Learning Innovation (TLI) team will undertake some of the setup tasks and subject coordinators will need to check and undertake others.
This guide takes you through the process to set up PebblePad and ATLAS for each teaching period. The process is as follows:
- Organise an ATLAS workspace for your Canvas subject
- Check and update PebblePad access links (where needed)
- Add or update resources (e.g. workbooks or templates) (if needed)
- Update assignment settings (where needed)
- Activate the workspace.
Organise an ATLAS workspace for your Canvas subject
If you have used PebblePad and ATLAS during the previous year in Semester 1 or Semester 2, the Teaching and Learning Innovation team will attempt to create an ATLAS workspace tied to the subject for the new teaching period. The team will do this on your behalf, using the previous subject settings. This typically happens 2-3 weeks before Week 1 of Semester commences.
If you wish to use PebblePad and ATLAS for a new subject, a subject that has not used PebblePad in the previous year, or a subject that has changed subject code or made other significant assessment changes since it last ran, you will need to request PebblePad and ATLAS set up. Please log a support request with the Teaching and Learning Innovation team. In any support requests, please include the relevant Canvas LMS subject details (subject code, year/semester and LMS link) where possible.
Note: If you use PebblePad for a year-long or intensive (summer or winter) teaching period, you may need to request set up - please log a support request with the Teaching and Learning Innovation team where needed.
Check the hidden PebblePad ATLAS Assignment link
Once PebblePad and ATLAS have been created for your subject, you will need to check ATLAS is working and update settings and resources within ATLAS.
To check PebblePad and ATLAS has been set up in your Canvas subject for the upcoming teaching period:
- Go to your Canvas subject and navigate to the Assignments page.
- Within Assignments in your Canvas subject, there should be a hidden assignment group at the bottom of the page called "Subject Management (Do not publish)", that contains a link labelled "[Staff] Use this to access PebblePad ATLAS workspace".

- Open the assignment to view the details. At the bottom of the assignment, click the grey Load [assignment] in a new window button/link (example below). The link will open the ATLAS workspace page in a new browser window.

- Confirm that opening the LTI link for that Assignment opens an ATLAS workspace for the subject for the correct teaching period.
If you cannot find the hidden PebblePad ATLAS assignment link, or if the link opens but instead displays a message to Create a new ATLAS workspace, this indicates that ATLAS may not have been set up for your subject for the relevant teaching period.
Please send a support request to the Teaching and Learning Innovation team in the first instance.
Add or updatePebblePad resources (workbooks and templates) for the new teaching period
For rollovers of existing subjects, the Teaching and Learning Innovation team will copy across any workbooks and template resources from the previous ATLAS workspace. This includes resources available under the Resources tab (workbooks and templates that are shared with students), and in the Feedback tab (feedback templates).
Review the resource on PebblePad as needed. If you require support to identify the resource, refer to the Resources tab in the ATLAS workspace to confirm the name and original author, or contact Teaching and Learning Innovation as needed.
Option 1: If you are not planning to make any changes to the workbooks or resources, the existing resources on ATLAS can continue to be used.
Option 2: If you need to make any updates to existing Workbooks, Templates or Feedback templates, you are strongly advised to create a new copy of the resource in PebblePad for the upcoming teaching period and make edits to the new copy. You can then add the new copy to ATLAS under Resources.
Refer to the guide Create PebblePad workbooks or other resources and provide them to students for further support on how to create a new copy, edit the resource and add it to ATLAS. Delete any old workbooks/templates from the Resources area as needed.
Option 3: If you need to create or add new resources to ATLAS for students, refer to the guide Create PebblePad workbooks or other resources and provide them to students.
Warning: Workbooks and templates shared with students are a live link to your copy of the workbook/template. Any edits you make to a resource will affect current and past student work and there is a risk of changing past assessments or losing student data. This is why it is important to make a new copy for the new cohort if changes are being made.
Due to this risk, we recommend that if you need to make changes during the current teaching period, you only make edits to instructions or minor additions (no removals or major edits). If in doubt please discuss with the Teaching and Learning Innovation team.
Check and update PebblePad student access links in Canvas
Generally, the Teaching and Learning Innovation team will add a Canvas page titled Access PebblePad for this subject to your Canvas subject. This page contains a link to PebblePad for students to access. The page will be available under Pages so may not be visible to students. To make this page available to students, please add it to a module as needed.
If you have previously added this page to your modules in a past teaching period, you should not need to do this step again.
- Go to Modules, then choose the Module you would like the PebblePad page to be placed.
- Use the plus (+) icon on the Module name to add a new or existing item
- Choose Page from the list
- Search for and locate the page titled Access PebblePad in this subject. Choose to add it to the Module.

- Make sure both the page and the Module are published to students by setting the buttons on the right of each to a green tick (as per image below). Students can now access the page the PebblePad links and resources listed.

If you cannot locate the Access PebblePad for this subject page, or require further support, contact the Teaching and Learning Innovation team.
Update assignment settings
Add additional assignments to ATLAS (if you have more than one PebblePad based assessment)
If you have more than one PebblePad workbook or assignment, you may need to set up additionalPebblePad assignments via Canvas.
Follow the steps under Edit ATLAS assignment settings available within the Set up your PebblePad assignment through the LMSstaff guide to do this as needed.

Activate the workspace
Activate the ATLAS workspace so it is available to students and teaching staff.
- Within the ATLAS workspace, go to the Management tab
- Click the Activate button available on the far right of the top banner. Your ATLAS resources and assignments are now available to students.
